Executive Personal Assistant / Office Manager

Our client, a successful and growing FMCG organisation based in Melbourne's Western Suburbs, is seeking an experienced Executive Personal Assistant / Office Manager to support their CEO while overseeing the smooth day-to-day running of the office.

This is a pivotal role requiring someone who is proactive, resourceful and able to anticipate the needs of senior leadership while creating an organised and efficient workplace.

About the Role

Reporting directly to the CEO, you will provide high-level executive support while taking ownership of office operations. This is a diverse role where you'll be involved in everything from managing the CEO's schedule to coordinating business initiatives and ensuring the office runs seamlessly.

Key Responsibilities

Executive Support

  • Manage the CEO's complex diary, appointments and inbox.
  • Coordinate domestic and international travel, accommodation and itineraries.
  • Prepare presentations, reports, board papers and meeting packs.
  • Take meeting minutes and follow up on key action items.
  • Screen and prioritise correspondence and confidential communications.
  • Build strong relationships with internal and external stakeholders.
  • Assist with projects, business initiatives and executive reporting.
  • Handle sensitive and confidential information with the utmost discretion.

Office Management

  • Oversee the day-to-day operations of the office.
  • Coordinate office suppliers, facilities and service providers.
  • Manage office budgets, purchasing and expense reconciliation.
  • Organise company meetings, events and staff functions.
  • Support onboarding of new employees and assist with general HR administration.
  • Ensure office policies, procedures and administrative systems remain efficient.
  • Act as the go-to person for all office-related matters.

About You

To be successful in this role, you will have:

  • Demonstrated experience as an Executive Assistant, CEO Personal Assistant or Office Manager.
  • Previous experience supporting C-suite or senior executives.
  • Exceptional organisational and time management skills with the ability to manage competing priorities.
  • Outstanding communication and stakeholder management skills.
  • A proactive, solutions-focused approach with strong initiative.
  • High levels of professionalism, confidentiality and discretion.
  • Advanced Microsoft Office skills, including Outlook, Word, Excel and PowerPoint.
  • Experience within an FMCG, manufacturing or commercial environment will be highly regarded.
